How does it work?
Receiving and distributing

Instead of receiving paper applications by mail, applications will be submitted over the web via Zapp by your Sending Organization partners.
The online student applications are received sorted by SOs. Applications are accessed by clicking on links in a simple and elegant user interface. You can browse, review, and process the applications online immediately. You may accept or return the application to the Sending Organization.
Once an application is accepted it can be assigned to a National, Regional, or Local Pool/Group in the Zapp system for immediate access by field staff and/or potential Host Families.
Applications received on paper can be scanned and uploaded into Zapp (if not already scanned and uploaded by the SO) and managed as a single system, along with the applications completed directly online.
You can quickly "register" (generate accounts) for intended recipients (Regional Directors, Local Coordinators, etc.) with the Zapp system. You assign a user name and password that allows local coordinators online access to as many applications as you judge necessary.
No additional student information data entry is required!!!
The minute the application is received, it becomes part of your student inventory, so main office staff can browse/search for specific profiles; for example, Japanese girls who play the piano. The review, acceptance, and placement process can start the same day the application is received and accepted.
Managing the placements
You can also generate Host family system accounts. From their accounts, Host families will be able to complete and submit their applications online (being able to insert up to 9 digital photos) and also have access to the searchable inventory of "available" students.
In the RO account, you can manage/select the placement status of Student Applications (available, on hold, placed, placed but pending, welcome host family, canceled, early return, off the program or dismissed); this will update the database and provide the most current information to all who have permission to access the student inventory.
Once the student is placed, you can also link the student application to a Host Family application and upload all the relevant placement documentation pertaining to the individual student (High school Acceptance Form, for example). You may then use the system to generate automated Placement Confirmation forms to be sent to the SOs. You may also seamlessly submit the Host Family application to the Sending organization and student.
Supervising and counseling
You can have your Monthly Contact forms customized and running on Zapp. Your Local Coordinators will be able to complete and submit their report forms from their own LC accounts. Zapp will help you to keep track of LCs who do not submit their forms by your established deadlines. You can also use the system to send e-mail alerts to LCs indicating what forms and for which students for each student have not yet been submitted.
You may also use the Counseling Communication & Documentation Center module to post and manage all communication with the SO.
